Uuden sukupuun aloittaminen
Aloittaaksesi uuden sukupuun, valitse Sukupuut ->Hallinnoi sukupuita tai valitse Sukupuut painike työkaluriviltä. Tämä avaa sukupuiden hallintaikkunan.
Valitse Uusi ja GRAMPS luo uuden sukupuun sukupuiden listalle. Vahtaaksesi sen nimen oletusnimestä Sukupuu 1, napauta nimeä ja kirjoita uusi nimi.
Valitse Lataa sukupuu ladataksesi uuden tyhjän sukupuun.
Sukupuun avaaminen
Avataksesi sukupuun valitse joko Sukupuut -> Hallinnoi sukupuita tai napsauta Sukupuut painiketta työkaluriviltä. Sukupuut ikkuna tule näkyviin ja näet listan kaikista GRAMPS:in tuntemista sukupuista. Kuvake näyttää Tila sarakkeessa sukupuun vieressä, mikäli sukupuu on avoimena. Valitse haluamasi sukupuu ja avaa se Lataa sukupuu painikkeella. Vaihtoehtoisesti voit kaksoisnapsauttaa haluttua puuta.
Viimeksi käytetyn sukupuun avaamiseksi valitse joko Sukupuut -> Viimeksi avattu tai nuoli alaspäin seuraavana Sukupuut painikkeesta tai sen vieressä olevasta nuoli alaspäin painikkeesta haluamasi sukupuu.
Jos sinulla ei ole päivitysoikeutta sukupuuhun, se avataan Kirjoitussuojattu-tilaan. Tässä tilassa tietoja voi katsella, mutta muutoksia ei tehdä puuhun. Tämän tilan merkkinä pääikkunan otsikkoon lisätään teksti (Kirjoitussuojattu)
GEDCOM tai XML tietokannan avaaminen
Jos tietokanta ei ole tallennettu Grampsin omaan tiedostomuotoon, se on kuitenkin avattavissa GRAMPSissa komentorivin kautta. Tällaisia ovat esim. XML ja GEDCOM tietokannat. Katso lisäohjeita Command line references. Huomioi kuitenkin se, että jos XML tai GEDCOM tietokanta on suhteellisen suuri, tulee suorituskyvyn ongelmia ja tietosi voivat korruptoitua kaatumisen tapahtuessa . Siksi on tavallisesti parempi luoda uusi GRAMPS sukupuu (tietokanta) ja tuoda XML/GEDCOM tiedot siihen.
Sukupuun poistaminen
Valitse sukupuu jonka haluat poistaa ja napauta Poista painiketta.
Tämä poistaa kokonaan puun, ilman mahdollisuutta palauttaa tietoja. Harkitse varmuuskopion ottamista viemällä tietosi GRAMPS XML-muotoon ja säilyttämällä tiedosto.
Sukupuun uudelleen nimeäminen
Voit uudelleen nimetä sukupuusi (tai sen arkistoidun version) valitsemalla puun ja napsauttamalla Nimeä uudelleen. Voit myös napsauttaa nimeä puiden listassa.
Molemmissa tapauksissa kirjoita vain uusi haluamasi nimi.
Sukupuun varmuuskopiointi
Turvallisin tapa varmuuskopioida GRAMPS sukupuusi on viedä se GRAMPS XML muotoon (tai GRAMPS paketiksi joka sisältää myös tiedostot galleriasta) ja kopioida syntynyt tiedosto turvalliseen paikkaan, mieluummin eri rakennukseen tai pilveen.
Voit käyttää arkistointia tallentaaksesi tilannekuvan puustasi. Näitä tilannekuvia voi käyttää yksinkertaisina varmuuskopiona. Se on käyttökelpoinen tapa, jos haluat kokeilla jotakin minkä myöhemmin saatat haluta perua. Kuitenkin tätä tapaa ei tule käyttää normaaliin varmuuskopiointiin. Arkistokopio ei selviä kiintolevyn rikosta eikä useimmistakaan muista tuhoista, joita voi tapahtua tietokoneelle.

Varmuuskopioinnin ikkuna
Valitse Perhepuut->Varmuuskopio...".
Voit halutessasi ottaa varmuuskopioon mukaan mediatiedostot.
Tiedot viedään tavanomaisessa XML muodossa, mitään tietoa ei suodateta pois. Tiedot palaavat siksi tuonnissa takaisin.
Varmuuskopiotiedoston nimen rakenne asetetaan paths.quick-backup-filename vakiossa ~/.gramps/gramps34/gramps.ini tiedostossa seuraavasti:

Seuraavat vakiosanat on käytettävissä rakenteessa: year, month, day, hour, minutes, seconds, filename, extension.
Sukupuun arkistointi
Huomaa Arkistointi on mahdollista vain, jos Grampsin tarvitsema GNU Revision Control System (RCS) on asennettuna. Normaalisti RCS on asennettava tietokoneeseen erikseen, se ei tule Grapsin mukana. |
RCS:n avulla voidaan heposti arkistoida ja aikaleimata sukupuut.
Arkiston tekemiseksi:
- lataa sukupuusi.
- napsauta työkalupalkissa Sukupuut painiketta (se näyttää vihjetekstin Yhdistä nykyiseen tietokantaan kun viet osoitteimen sen päälle).
- napsauta lataamaasi sukupuuta: Arkistoi painikkeen pitäisi tulla esille.
- napsauta Arkistoi painiketta, jolloin sinua pyydetään syöttämään "versiokommentti ja kuvaus" arkistollesi.
Arkistoinnin jälkeen sukupuiden listassa on alkuperäisen sukupuun vasemmalla puolella oikealle osoittava kolmio.
- napsauta kolmiota, jolloin näkyville tulee arkiston nimi (uudelleen napsautus supistaa arkistolistan).
Arkistoja voidaan poistaa, nimetä uudelleen ja ottaa niiden tiedot käyttöön.
Sukupuun arkiston palauttaminen
Kun napsautat arkistoa, Palauta painike tulee näkyviin. Sitä napsauttamalla arkistoitu sukupuuversio palautetaan tavallisten joukkoon. Se näkyy sitten sukupuiden listassa <alkuperäisen puun nimi>:<arkistonimi> nimisenä ja se on itsenäinen sukupuu. Tämä on hyödyllinen tapa saada arkisto talteen, koska alkuperäisen sukupuun poistaminen hävittäämyös sen arkistokopiot; ja arkistoja ei oteta mukaan myöskään Portable Gramps XML -muotoisessa viennissä.

Sukupuun lukon avaaminen
Kun GRAMPS avaa puun, se lukitsee sen estääkseen sinua tai ketään muuta avaamasta sitä samanaikaisesti. Toisella käynnissä olevalla GRAMPSilla voit avata toisen sukupuun, mutta avoinna oleva puu näkyy "lukittu" kuvakkeella, osoittaen että et voi avata sitä. Puun sulkeminen toisessa GRAMPSissa antaa mahdollisuuden avata se toisessa käynnissä olevassa GRAMPSissa.
Jos voisit avata sukupuun kahdessa GRAMPSissa yhtaikaa, se todennäköisesti vioittaisi tietojasi.
Epätodennäköisessä GRAMPSin kaatumisessa sukupuu jää lukituksi. Puun lukon avaamiseksi valitse lukittu sukupuu ja napsauta näkyville tulevaa Riko lukko painiketta. Avaa lukko vain ollessasi varma, ettei sukupuuta käytetä toisessa GRAMPSissa.
Vioittuneen sukupuun korjaaminen
Jos sukupuusi vaurioitui jostakin syystä, GRAMPSin sukupuiden hallinta ikkunassa näet punaisen virhekuvakkeen Tila sarakkeessa.
Saadaksesi GRAMPSin yrittämään viottuneen korjausta, valitse puu ja sitten napsauta Korjaa painiketta.
Tämä yrittää korjata puun varmuuskopiosta, joka luotiin automaattisesti poistuttaessa.
Muutosten tallettaminen sukupuuhun
GRAMPS tallettaa muutokset heti hyväksyttyäsi ne. Tämä tarkoittaa esimerkiksi, että käyttäessäsi Grampsia joka kerta kun napsautat OK painiketta muutokset on kirjattu ja talletettu välittömästi. Erillistä "tallenna" komentoa ei ole.
Voit peruuttaa tekemäsi muutokset valitsemalla Muokkaa -> Peru. Jos valitset komennon toistuvasti, uusimmat muutokset perutaan yksittäin. Palataksesi useampia komentoja kerrallaan voit käyttää Muokkaushistoria ikkunaa, joka löytyy Muokkaa valikosta.
Jos haluat palauttaa sukupuusi sen avaustilaan, valitse Sukupuut -> Hylkää muutokset ja lopeta. (Tämä toimii samoin kuin lopettaminen ilman tallennusta muissa ohjelmissa.)
Jos haluat tallettaa kopion sukupuustasi eri nimellä, sinun tarvitsee viedä sukupuu ja sitten tuoda se sitten uuteen sukupuuhun. GRAMPS XML tietokanta on suositeltavin tähän tarkoitukseen.
Tietojen tuonti

Tuodaksi tiedot valitse Sukupuut -> Tuonti. Tuo tietokanta ikkuna aukeaa ja pyytää valitsemaan tiedoston, jonka haluat tuoda. Huomaa että voit tuoda vain tietoja olemassa olevaan tietokantaan. Jos olet siirtämässä tietoja toisesta ohjelmasta tai vanhemmasta GRAMPS versiosta, niin ensin luo tyhjä tietokanta ja tuo sitten tiedot siihen.
Toisten ohjelmien luomien tapahtumien järjestys Tuonti toisista ohjelmista ei aina järjestä tapahtumia olettamaasi järjestykseen. Grampsissa on tuki tapahtumien järjestämiseen haluamallasi tavalla. Katso tarkemmin (englanniksi) Sort Events tool. |
GRAMPS V2.x tietokannat, GRAMPS XML ja GRAMPS paketit ovat kaikki alkuperäisiä GRAMPS tiedostomuotoja. Tietojen katoamisesta ei ole vaaraa, kun tuodaan tai viedään näihin tiedostomuotoihin.
GRAMPS V2.x tietokannan tuonti
- GRAMPS V2.x tietokanta (grdb): Tämä alkuperäinen GRAMPS tietokantamuoto oli ennen Grampsin 4 versiota käytössä ollut Berkeley tietokanta (BSDDB) , jossa on erikoisrakenne tietotauluissa. Tiedostokantamuoto oli binäärinen ja arkkitehtuuririippuva. Se oli erittäin nopea ja tehokas. Se ei ollut yleisesti siirrettävissä erilaisen binääriarkkitehtuurin (esim. i386 tai alpha) tietokoneiden välillä.

Gramps XML and XML paketin tuonti
Gramps XML and Gramps XML Package ovat Grampsin nykyisin käytettäviä alkuperäisiä tietokantamuotoja. Niissä ei ole vaaraa tietojen menettämiselle.
- GRAMPS XML: GRAMPS XML on tietojen siirrossa ja varmuuskopioissa käytettävä Gramps 4:n vakio tietokantamuoto. Toisin kuin GRAMPS V2.x tiedostomuoto, GRAMPS XML on arkkitehtuuririippumaton ja ihmisluettava. Tietokannassa voi olla myös viittauksia ulkoisiin mediatiedostoihin, jolloin ei ole varmuutta täydellisestä siirrettävyydestä (mediatiedostojen saamiseksi mukaan on käytettävä GRAMPS XML pakettia). GRAMPS XML tietokanta luodaan viemällä ('Sukupuut -> Vienti) valinnanssa tiedot tähän tiedostomuotoon.
- GRAMPS XML paketti: GRAMPS XML paketti on koostetiedosto. Se sisältää GRAMPS XML tiedoston ja kaikki mediatiedostot (kuvat, äänet, jne.) joihin tietokanta viittaa. GEDCOM tuonti

- Any source citations on notes are ignored.
- Many GEDCOM Primitive Elements do not have exactly corresponding data elements in Gramps, and they are therefore stored as Attributes or Data with appropriate names, normally the GEDCOM tag. This applies particularly to the header, submitter and submission GEDCOM records and particular fields like REFN, RFN, RIN and AFN.
Where data is stated to be 'ignored', its omission is reported in the feedback at the end of import, and it is included in a note attached to a relevant object.
Where data is stated to be 'silently ignored', it is (at present - this may be regarded as a lacuna), not reported and not included in a note.
This section describes any GEDCOM data that cannot be directly represented in Gramps, and how it is handled. For additional information on the limits of GEDCOM imports (and exports), please read the section on Gramps and GEDCOM.

Gramps has no direct representation of this data, and hence all information there has to be stored in other objects. Depending on a General preferences setting, a 'default source' object may be created. If this is created, then much of the data is stored in that Source, or in Repositories attached to that source.

- Link to submitter, ancestor interest and descendent interest indicators are silently ignored.
- The alias indicator ("An indicator to link different record descriptions of a person who may be the same person") is stored as an Association called 'Alias'.
- The REFN and REFN:TYPE are stored as Attributes of the Person, but if there is more than one REFN, it may not be clear which TYPE is associated with which REFN.
Handling of the INDIVIDUAL_ATTRIBUTE_STRUCTURE is rather complicated. The following tags:
- EDUC (Scholastic achievement),
- NMR (Count of marriages),
- OCCU (Occupation),
- PROP (Possessions),
- RELI (Religious affiliation),
- RESI and
- TITL (Nobility title)
are all treated as Gramps Events and the associated information is stored in the event structure. The details following the main tag (shown in brackets in the list above) are stored as the Description of the Event. The <EVENT_DESCRIPTOR> following the TYPE tag will overwrite the Description if the <EVENT_DESCRIPTOR> is not the attribute name.
The following tags:

- It is expected that there will be a 'FILE' tag to indicate the file holding the multimedia object. This usage is taken from GEDCOM 5.5.1, but the ability in GEDCOM 5.5.1 to have more than one <MUTIMEDIA_FILE_REFN> and having the FORM, TYPE and TITL subsidiary to the FILE gedcom_line is not supported (a later FILE may overwrite an earlier one - there is no error checking).

Gramps allows you to export a database into common file formats.
It provides options that allow you to fine tune your export.
- Filters on People and Notes: Filters allow you to export a limited amount of data, based on the criteria you select.
- Do not include records marked private: Check this box to prevent private records from being included in the exported file.
- Restrict data on living people: Check this box to limit the information exported for living people. This means that all information concerning their birth, death, addresses, significant events, etc., will be omitted in the exported file. If you choose this option, you will be given additional options to limit further the data on living people. For example, you can choose to substitute the word Living for the first name (see your settings); you can exclude notes; and you can exclude sources for living people.
- Do not include not related records: Check this box to prevent not related records from being included in the exported file.
Sometimes, it is not always obvious from the data if someone is actually alive. Gramps uses an advanced algorithm to try to determine if a person could still be alive. Remember, Gramps is making its best guess, and it may not always be able to guess correctly all the time. Please double check your data.
Vienti GRAMPS muodoissa
- GRAMPS database (grdb) export: Exporting to the GRAMPS native format will simply make a copy of your data under another name. Exporting to this format can also be useful if you have directly opened an XML or GEDCOM file and would like to save it as the grdb file.
- GRAMPS XML database export: Exporting into GRAMPS XML format will produce a database compatible with the previous versions of GRAMPS. As XML is a text-based human-readable format, you may also use it to take a look at your data.
- GRAMPS package export: Exporting to the GRAMPS package format will create a compressed file that contains the database and copies of all associated media files. This is useful if you want to move your database to another computer or to share it with someone.
- Export to CD: Exporting to CD will prepare your database and copies of all media object files for recording onto a CD. To actually burn the CD, you will need to go to the GNOME burn:/// location, which can be accessed by navigating through Nautilus: After exporting to CD, select Go ->CD Creator in the Nautilus menu. Your database directory will show up. To burn it to the CD, click the CD icon on the Nautilus toolbar, or select File ->Write to CD in the Nautilus menu.
If a media file is not found during export, you will see the same Missing Media dialog you encounter with GEDCOM export.

Export into other formats
- Web Family Tree: Exporting to Web Family Tree will create a text file that can be used by the Web Family Tree program. Export options include filter selection and the ability to limit data on living people to that of their family ties.

- vCalendar and vCard: Exporting to vCalendar or vCard will save information in a format used in many calendaring and addressbook applications, sometimes called PIM for Personal Information Manager.
- GRAMPS CSV Spreadsheet format: Allows exporting (and importing) a subset of your GRAMPS data in a simple spreadsheet format. See CSV Import and Export for more information. Also, see Export Display.

CSV vienti ja tuonti
This format allows you to import/export a spreadsheet of data all at once. The spreadsheet must be in the Comma Separated Value (CSV) format. Most spreadsheet programs can read and write this format. It is also easy to write by hand. This is the only Gramps import format which allows for merging with existing data.
New for Gramps 3.3: Previously, sources were not exported, but now they are. Sources are referred to by their title text. You can add further details to a source after importing.
There are three main uses for this format:
- You can export your core gramps data into a spreadsheet format, edit it with a text or spreadsheet program, and import the changes and additions back into gramps. This is handy for sending to others to fill in, or for taking on the road when you don't have your full gramps application.
- You can import new data into your gramps database. For example, if you have a set of new people to add to your database, but don't want to hunt and peck your way to finding where they go, you might find it easier to type them into a spreadsheet, and then quickly bring all of them in at once. This is handy if you have a large amount of data that you are cutting and pasting from another application or the web. An example of this is restoring your Gramps database by loading the Narrative Website into a spreadsheet.
- You can also import a set of corrections and additions. Say that you have printed out a report, and you are going through it marking corrections. If you make each correction a section of a spreadsheet, you can "script the edits" and then execute them all at once.
Export
To export your database:
- Start gramps
- Select "Export" from the Family Trees menu
- Select "Comma Separated Values Spreadsheet (CSV)"
A selected set of fields of your genealogy data will be saved to a .csv file in the format described below. In addition, the people and familes are referenced so that the data can be edited and read back in, thereby updating the database.
There are some columns that will be blank, specifically note and source columns. These are listed in the spreadsheet so that you can make notes for the import, but notes are never exported with this tool. Gramps 3.3 now exports source titles; previously no source data was exported.
Your data is broken up into three sections representing individuals, marriages, and children. The exported fields and column names are:
- Individuals
- Person, Lastname, Firstname, Callname, Suffix, Prefix, Title, Gender, Birthdate, Birthplace, Birthsource, Baptismdate, Baptismplace, Baptismsource, Deathdate, Deathplace, Deathsource, Burialdate, Burialplace, Burialsource, Noteote
- Marriages
- Marriage, Husband, Wife, Date, Place, Source, Note
- Families
- Family, Child
The first column in each area is the gramps ID. That is what will tie your edits back to the correct data, so don't alter those data. Load this file into your favorite spreadsheet using comma separated, double-quote text delimited, and Text format (any encoding for now). Then you can add or correct data, and save it back out, keeping the same format. You can then import the data back ontop of your old data and it will be corrected.

Import
To import your data:
- use the file from above, or create a spreadsheet (described below) with genealogical data
- start up gramps
- import the file into your current database
The merge part of this code will only add or update information to your database, and it always assume that the spreadsheet data is the correct version.
If you load this spreadsheet into Open/Libre Office, make sure you select each column as type Text rather than Standard. Standard will reformat your dates and numbers. Also, if you use Excel, you will probably want to select all cells once opened, and change the format of the cells to Text.
The spreadsheet is data made up of columns. Each column should have at the top of it the name of what type of data is in the column. You must use special names for the columns. Currently they are:
People
